MORRIS BROWN COLLEGE VISION STATEMENT

Morris Brown College - founded on service, grounded in excellence, and

The mission of Morris Brown College’s Bubbling Brown Sugar Dance Team Alumni Association is to unite, empower, and uplift our Alumni Community while preserving our Legacy. Through our shared passion for dance and commitment to excellence, we strive to make a positive impact on the world of dance and the broader community.

CONSTITUTION AND BYLAWS

Article I. NAME AND PURPOSE

​

SECTION I    NAME: 

The name of this organization shall be BUBBLING BROWN SUGAR: CHAPTER of MORRIS BROWN COLLEGE’S ALUMNI ASSOCIATION.

​

SECTION II PURPOSE: 

The purpose of the Bubbling Brown Sugar Alumni Association is to:

  1. Provide financial assistance to the current members of the Bubbling Brown Sugar dance team as stipulated by the needs assessed by our Director/Coordinator

  2. To cooperate fully with the current staff of Bubbling Brown Sugar so

as not to tarnish the name of the team nor University.

​

  3.To implement meaningful and worthwhile social experiences for all

   who are members of Bubbling Brown Sugar.    

 

  4. To create an appreciation and respect for the name and brand of  

   Bubbling Brown Sugar through our efforts, activities and achievements as Alum, as witnessed by the viewing public everywhere.

​

  5.To develop and cultivate life-long abilities through the discipline of

       Dance, which can also strengthen other abilities, such as, leadership, idealism and endurance. All which are ideal             characteristics  of dancers of the Band.          

      

  6. To encourage a close relationship between alumni and current band

      Members, as well as promote life-long bonds of Sisterhood.  

                   

 7. To assist in the recruitment and retention of students for admission to 

     Morris Brown College, as we support future Bubbling Brown Sugar members.

Article II.   MEMBERSHIP

​

SECTION I  

Classification of Members: 

Graduates and former students of Morris Brown College Marching Wolverine Band’s Bubbling Brown Sugar Dance Team (for at least a semester).

​

SECTION II  

Membership Violations:

a)        Any member found guilty of violating any of the By-Laws shall be subject to withdrawal of privileges. Withdrawal of individual privileges include: Forfeiture of her right to vote in Association meetings, hold office, participate in, or attend social activities of the Association, or in any way represent the name/brand of the Association.

 b)       Any member found guilty of violating any of the policies of Bubbling Brown Sugar shall be subject to the penalties set forth by the University Band and upheld by the Bubbling Brown Sugar Association.

c)         Any member found guilty of violating any state or federal law shall be subject to the penalties set forth by the University and upheld by the Bubbling Brown Sugar Association.

Article III. OFFICERS

SECTION I

            NUMBER AND TITLE OF OFFICERS

A. There shall be 8 officers.

B. The officers of the chapter will include the following:

I. President

2. Vice President

3. Secretary

4. Financial Secretary

5. Treasurer

6. Chapter Advisor 

7. Parliamentarian / MBCNAA

8. Chaplian

SECTION II TERMS OF OFFICE: 

​

The officers of Bubbling Brown Sugar Alumni Association shall be as follows:

 President, Vice-President, Secretary, Treasurer, or other officers as deemed necessary by the Association.  All officers should meet the requirements and responsibilities outlined in the By-Laws.

​

A. The term of office for each officer shall be no more than two years beginning with the first meeting, the week after installation in Summer.

​

B. Appointed officers shall serve the same term as the President. 

​

C. If a position becomes vacant during a term, the President will nominate a viable candidate(s) and propose the name(s) to the Executive Body for a 2/3 majority vote.

​

D. Any officer may be removed from a position who violates any policy of the College, Bubbling Brown Sugar, or Bubbling Brown Sugar Alumni Association by 2/3 majority vote. (of the total body or Executive Board).

 

SECTION III QUALIFICATIONS: 

All officers must be financial with the chapter as well as the Morris Brown College National Alumni Association. Officers must have been an active member.

SECTION IV RESPONSIBILITIES OF OFFICERS:

​

A. President. The President shall preside at each meeting of the Chapter and Executive Committee and shall appoint all standing committees, as well as,Chairpersons thereof. There shall be an Ex-officio member of all committees who will co-sign all checks and vouchers for disbursement of funds; execute all agreements or other documentary instruments in writing as may be directed by the chapter or as may reasonably be necessary or incidental to the effective management of the chapter's affairs and shall be (co-liable) for funds which are allocated for chapter activities. In addition, the President shall be designated as the official representative of the Association whenever such representation is required.

B. Vice-President. The Vice-President performs the duties of the President in

the President's absence. And will also assume the office of the President in the

event of the President's inability to serve out the term. The Vice-President shall not sign any checks or handle any monies associated with Bubbling Brown Sugar. 

​

C. Secretary. The Secretary shall keep the minutes of all regular and special meetings; shall be secretary to the Executive Committee and be responsible for the permanent records of the Chapter. Give notices of regular and special meetings to all members of the Chapter and shall maintain a roster of all names and addresses of members. 

The Secretary shall also be responsible for correspondence of a routine nature and shall present appropriate notices to the Chapter’s membership at the next regular or special meeting.

In addition, the Corresponding Secretary shall prepare and send news items to the Bubbling Brown Sugars Alumni Association members and Executive Board and shall be responsible for all official Association correspondence.

​

D. Financial Secretary. The Financial Secretary shall collect all funds of the Chapter and issue receipts for such funds. Records shall be kept accurately to reflect the source (s) from which funds come and the allocations made thereof. 

A membership ledger shall be maintained to reflect the financial activity of each member. The Financial Secretary shall be prepared to give a written report at any regular meeting and shall turnover all funds to the Treasurer and obtain a receipt of such funds.

​

E. Treasurer. The Treasurer shall deposit all funds of the chapter in the bank.

(Or banks) designated by the Chapter; and shall disburse funds by check, and only

upon receiving proper authorization, co-signed by the President; and shall make

written reports at all regular meetings.

 

F. Parliamentarian / MBCNAA. The Parliamentarian is an appointed position by the President and shall rule on all points of procedure; shall have available a copy of Robert's Rules of Order as well as the Chapter’s Constitution and By-laws and must refer to same as a basis of a ruling in making a decision. Provide Chapter with all updates, reports, etc., from the Morris Brown College National Alumni Association. 

 

G. Chaplain. The Chaplain is an appointed position by the President and shall be the spiritual leader of the Chapter and shall open each meeting with a prayer. Responsibility for planning, implementing, and maintaining bereavement / Self – Care notices / gifts to Chapter members.

SECTION V EXECUTIVE COMMITTEE.

The Executive Committee shall be the managing body of the chapter and shall be comprised of its elected officers.

​

SECTION VI VACANCIES.

The Executive Committee shall fill all vacancies on an interim basis until the next scheduled chapter election. Resignations, if any, may be made to, and accepted by the Executive Committee.

​

SECTION VII COMMITTEES:

The President, in concert with the membership, shall appoint all committees of the Chapter.

 

The Standing Committees shall be:

​

Chapter Advisory Committee. The Advisory Committee is an appointed position and shall be responsible for keeping, organizing, and analyzing the authenticity and relative significance of historical information from archives, artifacts, and record of activities of achievements Bubbling Brown Sugars Alumni Association.

​

The Committee shall consist of at least one person in each era and shall select one person from the committee to serve as the Committee Executive Representative.   

​

Outreach of Service. Committee Is Responsible for organizing all BUBBLING BROWN SUGAR ALUMNI ASSOICATION’S Community Service Projects; and responsible for coordinating Annual (Book & Dance) Scholarships Programs, & Morris Brown College Helping Hands Food Program.  

 

Homecoming Committee. The Committee strives to strengthen and create unbreakable bonds; and act as a bridge between all BUBBLING BROWN SUGAR ALUMNI ASSOICATION MEMBERS & Non-Members; Morris Brown Faculty and Students.

The Committee will consist of members in good standing who plan, coordinate & communicate all Homecoming Activities for BUBBLING BROWN SUGAR ALUMNI Members and will also work in conjunction with the College & National Alumni Association to ensure successful planning of events that involve our organization, students, faculty/staff & friends. 

The Homecoming Committee Members’ positions are voluntary, whose duties include but not limited to coordinating and overseeing the following tasks:  Securing parade & yard space; decorating; food preparation; and maintaining effective communications of all Homecoming events/cost to the Executive Members for approval & make reports / updates during general body meetings. Make strategic budget recommendations and decisions; ensure all suggestions are within the approved budgets. The Homecoming Committee will work closely with the Advisory Executive Representative to ensure that each era is represented and participating in all Homecoming planning. 

 

Other Committees: Other committees, standing or special, etc. shall be appointed by the President with the approval of the Board when deemed necessary to carry on the work of the Association. The Standing Committee's term shall be no more than two years (more terms) at the President’s discretion, beginning with the first meeting, the week after installation in the summer.

Article IV. MEETINGS AND QUORUM:

SECTION I MEETINGS:

​

1)  The chapter shall meet on ……………. of each month, exclusive of July and August, at a designated place.

2)        Location of the meetings shall be ………. (TBA)

3)        The attire for association meetings shall be business casual

 

​

 Special Meetings:

  1. Members will be notified of a special meeting by email, text, or telephone if necessary. This notice will provide the date, time, and place of the meeting.

  2. Special meetings of the members may be called by the Board or the President and shall be convened by the President or the Secretary, or by written request of the members. No business may be transacted at a special meeting except the business specified in the notice of the meeting.

 

SECTION II: NOTIFICATION OF MEETINGS:

Chapter members will receive notification of regular meetings or special meetings via Band App, Text Messaging, Group Me, and Email Messages no less than four (4) calendar days prior to the scheduled meeting.

 

SECTION III: QUORUM:

A Quorum shall consist of five or more dues paying members.

Article V. CHAPTER DUES

The members shall pay an annual subscription in the amount fixed by the chapter. Members are required to pay annual dues.  Only members in good standing are allowed to Serve on the executive board & participate in the Annual Morris Brown College Homecoming Yard / Parade performances. 

​

 

 Article VI. PARLIAMENTARY PROCEDURES

The rules in the current edition of Robert’s Rules of Order, Newly Revised, shall govern the Bubbling Brown Sugar Alumni Association, Inc., in all cases to which they are applicable and in which they are not inconsistent with our Bylaws and any special rules of order adopted by the Association.

 

Article VII. AMENDMENTS

​

SECTION I

The Bubbling Brown Sugar Alumni Association Constitution and By-Laws may be amended by a two-thirds vote of dues paying members at a regular meeting or a special meeting called for that purpose.

 

SECTION II

All amendments to the Constitution and By-Laws must be submitted to the Executive Committee at least thirty days prior to being brought before the Chapter. 

​

A The article to be amended should be introduced at a meeting prior to the vote.

​

B.A vote on the article to be amended shall be cast by secret ballot.

​

C.Only active members present at the time of voting may cast a secret ballot.

 

D. An amendment becomes effective upon passage. 

 

Article VIII. ACCOUNTABILITY

All members of the chapter are responsible for the full and accurate accounting of funds raised on behalf of the chapter and the College. No member is authorized to solicit funds or make public representation on behalf of the chapter without the expressed sanction of the membership.

ARTICLE IX. CHAPTER NOMINATIONS AND ELECTIONS 

​

SECTION I

The Election Committee shall consist of three (3) Chapter members in good standing according to the Chapter Bylaws. The Board shall appoint said Electors. This Committee is a rotation Committee and shall end upon completion of duties. And no Elector shall be both a Candidate and serve as an Elector nor serve on the Election Committee during the election process.

 

SECTION II

Election Committee Responsibilities

The election committee responsibilities are as follows: Organizing elections and collecting Names of Nominees; sending out Chapter Members’ candidates announcements; (Candidates bio; campaign material). organization of candidates’ night (if desired); mailing out / collecting paper ballots;(if needed & please use the Chapter P.O. Box); Overseeing votes during elections; announcing the electoral results by delivering the result of the election to the Executive Members (the day after election) and to Chapter members at large via chapter email. The Election Committee shall oversee the transition process to ensure continuity in the Association. All records, equipment, forms, keys, etc. shall be brought to the Annual Meeting for immediate transfer to the new officers.  Members of the election committee should also assume responsibility for various parts of the election process according to their position and needs within the committee. Moreover, the Election Committee members must be members in good standing.

​

A. The officers of the Bubbling Brown Sugars Alumni Association will be nominated at the last meeting in February and elected by secret ballot during the first meeting in March before the new upcoming term. Each newly elected officer shall be installed during the closing of the last meeting in April. 

 

B. Eligibility requirements: (1) a candidate for President must have been an active member of the association for one consecutive year prior to the election; (2) All other candidates must be an active member and have met all financial obligations to the Association.

​

C. All voting should be done by secret ballot and tallied by the Election Committee only.

​

D. Chapter officers shall begin their term on the 1st of June.

 

SECTION III:

Report of Election Results 

The report shall include: (a) the total number of Candidates, (b) the total number of votes cast  (c) the winning candidates and the votes each received. In addition, all other candidates shall also be informed of the number of votes they received. 

​

ARTICLE X.

BUBBLING BROWN SUGARS PERFORMANCE ENGAGEMENTS

 

SECTION I: 

Only members in good standing are allowed to participate in the Annual Morris Brown College Homecoming Yard / Parade performances and in all other BUBBLING BROWN SUGAR ALUMNI ASSOCIATION’S engagements, performances etc.

Article XI. ADJOURNMENT

Each meeting shall be closed with the singing of the Alma Mater of Morris Brown College.

As an alumni and friend of Morris Brown College, I will at all times and in all places, strive to promote the good name and reputation of such an outstanding institution. With dignity, I will demonstrate in my character and deportment, an air of pride that will be noticeable and respected. With compassion, I will take advantage of every opportunity to speak on her behalf, and assist in any way possible with the efforts of the school, in the recruitment of good students, in locating financial resources, and by making myself available for tasks I am called upon to perform. As members of this alumni organization, I will make efforts on a continuing basis, to attract other well-meaning alumni and friends of Morris Brown College, to join our attempts to assure her a long life of success, and achievement for her sons and daughters.

Oh Lord, we beseech thee to give us that due sense of love, reverence, and respect for our Alma Mater, Morris Brown College. We ask that thou will give us the will to represent her, displaying the highest degree of personal integrity, and with a level of deportment that will show forth these morals, and virtues she has taught and stood for, for so many years. We ask that thou will continue to let your light so shine on her, that she may continue as a lively center for sound learning, new discovery, and the pursuit of wisdom. And grant that those who teach there, and those who learn there, may find you to be the source of all truth. Bless the President, the Staff and Faculty that they may be good leaders, and set right examples for academic excellence, and outstanding achievement.
